Where will the meeting be held and when?

The meeting will be held at the San Diego Convention Center (location of registration, major talks, exhibits, art exhibit, email center, Employment Center, Grad School Fair, short courses, minicourses, some social events, some sessions and contributed paper sessions, and poster sessions) and the San Diego Marriott Marquis & Marina (location of some social events and governance and committee meetings). The actual dates of the meeting are January 9 - 12, 2013, Wednesday - Saturday.

What is the difference between a contributed paper (CP) session and a Special Session (SS) and/or Invited Paper Session?

AMS Contributed Paper sessions consist of ten-minute talks contributed to the AMS program by the authors (speakers); these are grouped by related subject classifications into sessions by the AMS Associate Secretary responsible for the scientific program. Only one AMS contributed talk may be given at the meeting.

MAA Contributed Paper sessions consist of ten-minute talks (general CP session) or fifteen-minute talks (specific topics).  Both types of sessions have organizers who can answer more specific sessions (see the websites that include the listings; the email of the contact organizer is included there). The selection process is detailed below in "How do I submit an abstract for talks in the MAA sessions?"  Speakers may give up to two talks in specific sessions or one talk in the general session.

MAA Invited Paper Sessions are organized by mathematicians on specific topics.  These sessions are usually filled by invitation only.  If you feel your talk would be a good "fit" for the session, please email the contact organizer.

AMS Special Sessions consist of talks (usually of twenty minutes' duration) organized by mathematicians on specific topics. It may be that all available places within a Special Session are taken by invitation; however, contributions can sometimes be accommodated. These are known as abstracts for consideration in Special Sessions and must be submitted by August 7, 2012. Any contribution that cannot be accommodated in a Special Session will be considered for presentation in an AMS Contributed Paper session.

How do I submit an abstract for a talk in AMS sessions?

Authors must submit abstracts of talks through http://jointmathematicsmeetings.org/meetings/abstracts/abstract.pl?type=jmm. Indicate the number of authors for the paper, click on the “submit” button, and you will be taken to the submission form. Simply follow the step-by-step instructions (read them carefully) until you receive your unique abstract number. No submission is complete until you receive your abstract receipt number.

The deadline for all submissions is September 25, 2012. Late papers cannot be accommodated. Please email abs-coord@ams.org if you have questions. If you make an inquiry about your specific abstract, please include your abstract number.

Is videotaping allowed at the meeting?

The videotaping of any Joint Mathematics Meetings sponsored events, including but not limited to special sessions, contributed paper sessions, workshops, mini-courses, short- courses and colloquia, is strictly forbidden without the explicit written permission of the Director of Meetings and Conferences for the Joint Meetings.

Photographs and videos of meeting interactions will be taken by professional photographers hired by the Joint Mathematics Meetings or by AMS and MAA staff.  These photographs and videos may occasionally be used for publicity purposes.  By participating in the Joint Mathematics Meetings, attendees acknowledge that their photograph or a video that includes them may be published in material produced by the Joint Meetings, AMS or MAA.  

AMS and MAA are not responsible for unauthorized photographs or other images not taken by professional photographers hired by the Joint Mathematics Meetings or AMS and MAA staff.

What is your policy for photographs taken at the meeting?

Who can exhibit at the meeting?

The Joint Mathematics Meetings Exhibits are open to scientific publishers, computer hardware companies, software manufacturers, database services organizations, professional associations, government agencies, health and lifestyle companies, scientific games and learning aids companies, insurance companies, and anyone with a business that is geared toward reaching key educators and researchers in mathematics, engineering, computer science, or statistics. Who can register as an exhibitor for the meeting?

Any person exhibiting in the Joint Mathematics Meetings Exhibits can register as a "commercial exhibitor". This includes anyone exhibiting in the Mathematical Art Exhibition. This does not include anyone participating in any poster sessions. Any exhibitor who is a mathematician and wants to attend sessions, talks, etc. is expected to register separately for the meeting.

How can I be a sponsor for the meeting?

Any company that provides a service or product to the mathematical community and wants to be in the spotlight at the Joint Mathematics Meetings can be a sponsor. Details are listed here.

Companies who are not signed up to exhibit at the meeting can be sponsors; however, it is preferred that they sign up. Additional sponsorship fees may apply for non-exhibitors.

You can reserve a room now.

Do I need to register for the meeting to get a hotel room?

Yes; however, it is possible to reserve a hotel room without registering for the meeting first, if necessary. Contact the MMSB for details. Note that all reservations must be made through the MMSB to receive the meeting rates.

Note also that you do not have to register for the meeting to take one of the short courses. If you are registering for the short courses only, you may also reserve a hotel room.

How does the room lottery work and do I need to have a room to be entered in it?

All participants who register and reserve a room at any of the official JMM hotels by November 5, 2012, will automatically be included in a random drawing to select a winner of free room nights in that hotel. The number of drawings is based on the number of complimentary room nights available in the various hotels. Multiple occupancy is permissible. The winners will be drawn at random from the hotel reservation lists and notified by email or phone prior to December 17, 2012. Good luck!

Do I need to register for the meeting to participate in the undergraduate poster session?

It is recommended that you register for the meeting, preferably by the early registration deadline. You should register in the "Undergraduate Student" category (or appropriate Graduate Student category if you are a current grad student presenting research conducted as an undergrad).

How do I fill out the internet form if I am sharing a room with another participant who will be registering?

1) One person requests the room, naming the second person as the roommate.

2) The second person selects No in answer to the question,
I am reserving accommodations now. I will indicate my requests below

and then put I am sharing a room with so and so, who is requesting accommodations in the GENERAL COMMENT field.

I did not ask for a hotel room when I registered. Now, I want to reserve a room. What should I do?

Send email to mmsb@ams.org giving your preference for hotels, arrival/departure dates, guarantee information, and any other special requests. The MMSB will add it to your record and you will receive a new confirmation.

How do I reserve rooms for a group of students?

The best way to do is to register yourself and reserve a group of rooms as early as possible, hopefully in September. If you don't initially know the names of the students, reserve the rooms in your own name. There is no penalty for cancelling a room reservation if you do it before the hotel's cancellation deadline. Later, when you know the students' names, register them, and inform the MMSB which students are occupying each room. Please remember that the less expensive hotels and the student rooms fill up quickly.

What is the Employment Center and when does it occur?

The Employment Center an interviewing program for (mostly) PhD-level mathematicians seeking employment and for employers, mainly academic, who wish to conduct brief interviews with them. It is held each January at this meeting and is a three-day program. It is most advantageous to register in advance. Please see a more detailed overview located at http://www.ams.org/profession/employment-services/employment-center/employment-center.

Employers should pay the appropriate fees; there are no fees for applicants to participate, except that all Employment Center participants must also register for the Joint Mathematics Meetings (JMM). Official meeting badges are required to enter the Employment Center.

Is there any travel information?

Detailed travel information can be found here. Note that participants have the option of taking the Red Trolley depending on where they are coming from. There is a cost for the Red Trolley but not much compared to parking meters,  paid parking lots/structures.

How much is parking downtown?

On-site private vehicle parking is available at the San Diego Convention Center's 1,950-vehicle underground garage which is located below the building. The entrance to the parking garage is on Harbor Drive between First Avenue and Fifth Avenue. The current daily rate is US$11. Parking rates may range from US$11 to US$21 on days when there is special event activity at PETCO Park or other downtown events. Payment is due upon entry and there are no in and out privileges. No overnight or RV parking is permitted.  There is a 2,000-space parking structure located directly across the street from the Convention Center, on the corner of Harbor and 8th Avenue. Pretty much everything is metered parking downtown.

Where can I get Visa information?

Visa regulations are continually changing for travel to the United States. Visa applications may take from three to four months to process and require a personal interview, as well as specific personal information. International participants should view the important information about traveling to the U.S. found at sites.nationalacademies.org/pga/biso/visas/ and travel.state.gov/visa/visa_1750.html. If you need a preliminary conference invitation in order to secure a visa, please send your request to meet@ams.org and an invitation will be forwarded as soon as possible. In order to compose and send your letter, we will need your document number, email address, and your complete mailing address. Also see this very informative document from the U.S. Department of State which lists answers to frequently asked questions about the processing of visas (www.ams.org/amsmtgs/FAQ-Bus-1-Visa.pdf). You should also be aware that this meeting has been registered with the U.S. Department of State.

Machine Readable Passports Required by June 26, 2005: The Department of Homeland Security reminds travelers from the 27 Visa Waiver Program (VWP) countries (see the website cited above for a list) that as of June 26, 2005, they must have a machine-readable passport to enter the United States without a visa. Beginning June 26, 2005, transportation carriers will be fined US$3,300, per violation, for transporting any VWP traveler to the United States without a machine-readable passport. Similarly, VWP travelers arriving in the United States on that date without a machine-readable passport should not anticipate being granted one-time entry into the country. As an alternative for persons with immediate travel plans who are unable to obtain a machine-readable passport in time, the individual may apply for a U.S. visa at a U.S. Consulate or Embassy abroad.

What is a cvv number?

The cvv number is the Credit Verification Value number. For VISA, MasterCard and Discover, this number is the last three digits of the string of numbers found on the back of your credit card. For American Express, this number is the four digits that are above and to the right of your credit card number on the front of your card.

What is the standard audio-visual setup in the session rooms where talks will take place?

At national meetings the usual audio-visual equipment provided for speakers in AMS Special Sessions, MAA Invited Paper Sessions, AMS Contributed Paper Sessions, and MAA Contributed Paper Sessions includes one overhead projector, one laptop projector, and one screen. Speakers (or organizers) in these sessions are expected to provide their own laptops. Because of extraordinarily high costs, requests for extra equipment cannot be filled automatically.

Mikell Lang, the JMM Audiovisual Coordinator, will send AMS session organizers email asking any additional AV needs; if your session has no organizer, please contact Mikell directly. The MAA Director of Meetings will contact MAA organizers. Approvals for these additional charges must be returned to mkl@ams.org by November 1

Due to the exorbitant additional late charges, requests made on site cannot be accommodated. White or blackboards are not available at national meetings.
