Create A Personalized Daily Schedule and Export It Your Calendar!

For your convenience, we are offering a Personal Scheduler again for the Joint Mathematics Meetings (JMM). Take advantage of this tool—it is designed to help you get the most from your meeting experience. Create your schedule today and save valuable time at the meeting!

About the Scheduler

The Personal Scheduler is your personal planner designed to help you plan your time during the JMM. This tool allows you to view all of the sessions, courses, talks, and committee meetings offered at the JMM and select the ones you plan to attend. Plan your agenda before arriving in Baltimore, by creating your personalized daily schedule and importing it into a calendar program such as ical, Outlook, or Google Calendar.

With access to the complete online program, you can build (and re-build) your schedule as many times as you'd like. NOTE: Adding sessions to your personal schedule does not mean you are registered to attend the meeting. See the registration page for information on how to register.

How do I use the Personal Scheduler?

Access the Personal Scheduler and follow the instructions below.

Make selections: Scroll down the scheduler page and check the boxes next to the courses, talks or sessions that you would like to attend. The line that begins with “Show only” will filter the program by day and time. The “Show all” button will display the full program.  If you would like to review what you have chosen at any time, click “Print My Schedule”.

Print My Schedule Button: The "Print My Schedule" button will display the sessions you have chosen in an html file with hyperlinks to the abstracts of the talks.  If you print it, it will print with page breaks at the end of each day.  The file can be copied and pasted it into Microsoft Word or other word processing programs.

 “Save” Button: The “Save” button will save your choices for your schedule on the server where the JMM website lives.  Filenames can only include letters, numbers, and underscores. They cannot include spaces or any other characters.  You can retrieve your schedule at any time using the “Open” Button and entering the filename you have chosen.

“Clear Selections” Button: The "Clear Selections" button will uncheck any selections you have made, and clear your schedule.

“Export ICS” Button: The "Export ICS" button will export a calendar file (.ICS) that you can either open or save to your computer. This file can be opened in Apple Calendar/ iCal and in Outlook, and can be imported into Google calendar. Note: The ics file is in Eastern/New York time. See directions below on how to view your events in a different time zone.

“Export CSV” Button: The “Export CSV” button will download a comma-separated data file that you can open in Microsoft Excel or import into the program of your choice. You can then sort and format it the way you want. NOTE: This option is best for people who are “Excel savvy”.

Saving Your File

  • Click “Export ICS”.

  • Select “save file”. 

  • Select “ok”

  • Name the file with an “.ics” extension and save it to a preferred location on your computer.  

  • The file may also automatically download.

or

  • Click “Export ICS”

  • Select “open with Microsoft Outlook” or if you are using a Mac, you can choose to open it in Calendar (You may be given a choice of program to open the file.)

  • Select “ok”

Opening Your File

To open in your calendar: The .ics file can be opened in Apple Calendar, Outlook 2007, and 2010. 

To open in Outlook: In Outlook, an additional calendar called “Joint Mathematics Meetings” will automatically be created.  Select the Joint Mathematics Meetings calendar, and then advance to January 2014 in your calendar to begin viewing your schedule for the meeting. Note: If you make additions to your calendar in the Scheduler and open it again in Outlook, a new version of your Joint Mathematics Meetings calendar will be created, and you may delete the older version.

To open in Apple Calendar: You will be asked to add new events and to choose which calendar to add them to. If you choose “New Calendar”, it will create a Joint Meetings Calendar

To open in Google Calendar: If your file is downloaded or saved to your computer, it can be opened in Google Calendar. Instructions are as follows:

  • Open Google Calendar and select “Other calendars”.  Use the drop down arrow to choose “Import Calendar.”  Browse to find your calendar name (with .ics extension) and when you find it, click “import”.

  • Advance to January 2014 in your calendar to begin viewing your schedule for the meeting.  

  • If you add items to your schedule and re-import, the events in the new ics file will be added to the events already in your calendar.

Time Zone Change Directions

To display your calendar in Pacific Time in Outlook 2010 or in both time zones, follow the directions at

In Calendar 6.0/7.0
 
By default, Calendar events are displayed in your computer’s current time zone (set in Date & Time preferences). You can choose to view all your Calendar in a different time zone. You may want to change the Calendar if you will be traveling to a different time zone and want to see your events shifted to the correct time for the new location.

To view all your events in a different time zone:
  • Choose Calendar > Preferences > Advanced tab Select the “Turn on time zone support” checkbox. A time zone selection menu will appear in the upper right corner of the Calendar window.   
  •  From the time zone menu in the Calendar window, choose a time zone for the main calendar view. If you don’t see the time zone, choose "Other", and then select your time zone in the map that appears.   
  •  Choose the city nearest the location you want from the menu below the map.
 
All the events in the main calendar view will move to the correct dates and times for the Calendar time zone you selected.  If you travel back to your original location, choose its time zone from the menu and all of your events will shift back to the original dates and times.  If you create any new events while the main calendar view is in Eastern/Baltimore Time, the new events will display in Eastern/Baltimore Time.  When you switch back to your original time zone, the events created in Eastern/Baltimore Time will remain in Eastern/Baltimore Time. To change an event’s time zone, choose a new time zone in the event editor.
 
To change your time zone manually:
 
                Choose Apple > System Preferences > Date & Time > Time Zone tab

Google Calendar

  • Open your calendar, or your secondary JMM calendar (if you saved it as a separate calendar file), and look in the far right on top of your calendar to find the "Settings"  drop-down menu (looks like a little gear). 

  • Use the drop-down menu to select "Settings" again, and either change your current time zone to Pacific time or select "display an additional time zone" and select Pacific time.
